Families are advised to read through our policies before signing the 'Confirmation of Information' included in your Welcome Pack.

Our Parent Handbook and all policies are available at your request at any time in the Kindergarten.

Additional Needs (ASN)

Policy Statement

Prestwick Private Kindergarten is committed to providing an inclusive, nurturing and equitable environment where all children are supported to achieve their full potential.

We recognise that some children may require additional support to help them access learning, participate fully in nursery life and achieve positive outcomes. In line with the Education (Additional Support for Learning) (Scotland) Act 2004 (as amended), we understand that additional support needs may be:

  • Short-term or long-term
  • Arising from disability or health needs
  • Related to social, emotional or behavioural needs
  • Linked to family circumstances
  • Associated with English as an additional language
  • Required during a period of change or challenge

We are committed to early identification and timely support in partnership with families and other professionals.

Our Commitment

We aim to ensure that:

  • Every child feels valued, respected and included.
  • Barriers to learning and participation are identified and reduced.
  • Support is tailored to the individual needs of the child.
  • Children are supported within their peer group wherever possible.

Identification of Additional Support Needs

We support early identification through:

  • Ongoing observation and assessment.
  • Regular communication with parents/carers.
  • Use of GIRFEC wellbeing indicators (Safe, Healthy, Achieving, Nurtured, Active, Respected, Responsible, Included).
  • Professional discussion during staff meetings and supervision.

Where concerns arise, we will sensitively discuss these with parents/carers and agree next steps together.

Working in Partnership

We recognise that parents and carers are their child’s first and most important educators. We will:

  • Work collaboratively with families to plan appropriate support.
  • Develop Individual Support Plans (ISPs) where appropriate.
  • Review progress regularly with parents/carers.
  • Seek consent before sharing information with other agencies (unless child protection concerns apply).

Where required, we will liaise with relevant professionals such as:

  • Speech and Language Therapists
  • Educational Psychologists
  • Health Visitors
  • Occupational Therapists
  • Social Work Services

Multi-agency working will always follow GIRFEC principles.

Providing Support

Support may include:

  • Differentiated planning and adapted learning experiences.
  • Environmental adjustments.
  • Visual supports or communication aids.
  • Small group or individual support.
  • Adjustments to routines where appropriate.
  • Additional staff training to enhance practice.

In line with the Equality Act 2010, we will make reasonable adjustments to ensure children are not disadvantaged due to disability.

Training & Staff Development

We are committed to ensuring staff have the skills and knowledge required to meet children’s needs. This may include:

  • Targeted professional development
  • External training opportunities
  • Guidance from specialist services

When Needs Cannot Be Met

If, despite reasonable adjustments and consultation, we believe we cannot safely or effectively meet a child’s needs within our current provision, we will:

  • Discuss concerns openly and respectfully with parents/carers.
  • Seek advice from relevant professionals.
  • Support families in identifying an alternative placement that may better meet their child’s needs.

The child’s wellbeing and best interests will always remain central to decision-making.

Administration & Storage of Medicine

Policy Statement

Prestwick Private Kindergarten is committed to safeguarding the health, safety and wellbeing of all children in our care.

We recognise that some children may require medication during nursery hours and we will ensure this is administered safely, appropriately and in line with Care Inspectorate guidance and best practice.

Medication will only be administered where it is necessary to support a child’s health, wellbeing and inclusion.

General Principles

  • Parental/carer written consent is required before any medication is administered.
  • Staff will only administer medication they are trained and confident to give.
  • At least two members of staff will be involved in the administration process (one administering, one witnessing), where possible.
  • The dignity and privacy of the child will always be respected.
  • All medication will be stored securely and in accordance with manufacturer instructions.
  1. Temporary (Short-Term) Medication

Temporary medication refers to medication prescribed for a short period (e.g. antibiotics).

Requirements

A Temporary Medication Form must be completed in full and include:

  • Child’s full name and date of birth
  • Name and reason for medication
  • Dosage, method and times to be administered
  • Date medication commenced (first dose must be given at home)
  • Date medication is to cease
  • Known side effects or allergies
  • Parent/carer signature confirming consent

Staff will not administer the first dose of any new medication.

Storage

  • Medication must be in its original packaging with pharmacy label attached.
  • Refrigerated medication will be stored in a clearly labelled, sealed container on the top shelf of the fridge, inaccessible to children.
  • Non-refrigerated medication will be stored in a locked cupboard.
  • Storage location will be recorded on the medication form.
  1. Long-Term / Emergency (“Permanent”) Medication

This includes medication required for ongoing health conditions or emergencies (e.g. inhalers, EpiPens, antihistamines, epilepsy medication).

A Permanent Medication Form must include:

  • Child’s full name
  • Name and purpose of medication
  • Clear dosage and method of administration
  • Signs and symptoms requiring administration
  • Possible side effects
  • Storage requirements
  • Expiry date
  • Review date
  • Signed parental consent

Where appropriate, an Individual Healthcare Plan will also be in place.

Administration

When medication is administered:

  • The time, dosage and reason will be recorded immediately.
  • The administering staff member and witness will sign the record.
  • Parents/carers will be informed the same day.

Monitoring

  • Management will review all long-term medication monthly to check expiry dates.
  • Expired medication will not be used and will be returned to parents/carers.

Emergency medication will be readily accessible to staff at all times but kept out of reach of children.

  1. Prescribed Medication

We will only administer medication prescribed by a GP, nurse prescriber, dentist or pharmacist.

Prescribed medication must:

  • Be in its original container
  • Be clearly labelled with the child’s name
  • State dosage and administration instructions
  • Include the pharmacy label

Medication prescribed for someone other than the named child will not be administered.

  1. Non-Prescribed Medication

Non-prescribed medication (e.g. paracetamol, antihistamines) will only be administered:

  • With prior written parental consent
  • Where appropriate to the child’s condition
  • In line with dosage guidance

Parents/carers will always be contacted prior to administration unless an agreed protocol is in place as part of a child’s care plan

The nursery will not administer medication solely to reduce a fever to allow a child to remain in nursery.

  1. Medication Inventory & In/Out Procedures
  • All medication stored on-site will be recorded in a Medication Inventory Log.
  • Medication brought in daily and taken home must be signed in and out.
  • Storage and return of medication will be documented.
  1. Managing Fever & Sudden Illness

If a child develops a temperature (above 37.5°C):

  • Parents/carers will be contacted promptly.
  • The child will be made comfortable, hydrated and monitored.
  • Light clothing will be removed if appropriate.

If parents/carers are delayed and prior written consent exists, management may administer paracetamol or ibuprofen in accordance with dosage guidance.

Urgent medical advice will be sought where:

  • A child aged 3–6 months has a temperature of 39°C or higher
  • A child appears unusually drowsy, floppy, distressed or causes concern
  • There are symptoms of serious illness

Emergency services will be contacted where necessary.

  1. Record Keeping & Confidentiality
  • All medication records will be signed and dated by staff and parents/carers.
  • Records will be stored securely in line with GDPR and Data Protection legislation.
  • Records will be retained in accordance with statutory guidance.

Administration of First Aid

Policy Statement

Prestwick Private Kindergarten is committed to ensuring the health, safety and wellbeing of all children in our care. While we take every reasonable precaution to provide a safe environment, minor accidents such as bumps, grazes or falls may occasionally occur.

We ensure that appropriate first aid provision is always in place in accordance with Scottish legislation and Care Inspectorate guidance.

First Aid Provision

  • At least one member of staff holding a current Paediatric First Aid qualification is always present, including during outings.
  • First aid training is refreshed in line with national requirements.
  • A fully stocked first aid box is always accessible and stored in a clearly identified location.
  • First aid kits are also available for outings.
  • All staff are aware of emergency procedures.

Administration of First Aid

  • Basic first aid will be administered to a child following an accident or minor injury.
  • All first aid treatment is carried out by a trained member of staff.
  • Hypoallergenic dressings (plasters) may be used where appropriate.
  • Blue detectable plasters will be used by staff involved in food handling, in line with food safety regulations.
  • Management will be informed of all incidents requiring first aid.

Recording & Communication

  • All accidents and incidents are recorded accurately in the nursery accident/incident record.
  • Parents/carers are informed as soon as reasonably practicable following any injury.
  • Parents are asked to sign the accident/incident record to confirm they have been informed.
  • Patterns of accidents/incidents are monitored to identify any emerging risks.

Serious Injury or Medical Emergency

In the event of a serious accident, injury, or sudden illness:

  • Emergency services will be contacted immediately (999).
  • A member of staff will accompany the child to hospital if required.
  • Parents/carers will be contacted without delay.
  • If parents cannot be reached, the nursery will act in the best interests of the child.

Prestwick Private Kindergarten reserves the right to seek emergency medical treatment at the nearest Accident and Emergency Department where it is considered necessary to safeguard a child’s health or life.

Admissions & Settling In

 

Policy Statement

Prestwick Private Kindergarten is committed to providing a welcoming, inclusive and nurturing environment for all children and families.

In line with the Equality Act 2010 and the Health and Social Care Standards, we ensure that no child or family is discriminated against on the grounds of ethnicity, culture, religion, disability, family background, gender or additional support needs.

We aim to make our admissions process transparent, fair and supportive, recognising that starting nursery is a significant transition for both children and families.

Admissions Procedure

Information about our service, including opening hours, fees, session options and general information, is available to all prospective families through our website, admission pack and Parent Handbook.

Registration Process

  • Parents/carers complete a Registration Form.
  • A registration fee secures a place.
  • Children are added to the waiting list in order of application.
  • Places are generally allocated on a first come, first served basis.
  • Priority may be given to siblings of children already attending the nursery.

Before a start date is confirmed, parents/carers will:

  • Meet with the management team.
  • Be introduced to their child’s allocated Key Worker.
  • Provide detailed registration information, including:
    • Emergency contacts
    • Medical history
    • Dietary requirements
    • Additional support needs
    • Relevant professional involvement (if applicable)

All personal information is stored securely in line with UK GDPR and our Confidentiality Policy.

Inclusion & Additional Support

We recognise that children may have individual needs requiring additional planning or support.

Where a child has identified Additional Support Needs, we will:

  • Meet with parents/carers to discuss the child’s needs.
  • Liaise with relevant professionals (with consent).
  • Consider reasonable adjustments in line with the Equality Act 2010.
  • Ensure appropriate planning and staffing arrangements are in place where possible.

The child’s wellbeing, safety and inclusion will always guide decision-making.

Settling-In Procedure

We understand that starting nursery is a major transition. We are committed to supporting children to settle at a pace that reflects their individual needs.

Our Approach

  • Each child is allocated a Key Worker to provide consistent care and support.
  • Settling-in visits are arranged prior to the child’s start date.
  • Trial sessions are flexible and planned in partnership with parents/carers.
  • Parents/carers are encouraged to share information about routines, interests and comfort items.
  • Familiar toys or comfort objects from home may be brought in where appropriate.

We recognise that separation can be emotional. We therefore:

  • Encourage parents/carers to say goodbye clearly and positively.
  • Provide reassurance and comfort to children.
  • Offer updates via phone call where requested.
  • Provide verbal feedback at collection.

We advise parents/carers to collect children on time during the settling-in period to help build trust and confidence.

Partnership with Parents & Carers

We value parents and carers as partners in their child’s care and learning.

Families will receive:

  • A Welcome Pack and emailed policies.
  • Information about daily routines and expectations.
  • Ongoing opportunities to discuss their child’s progress and wellbeing.

Open communication is central to ensuring a smooth transition from home to nursery.

Allergies

Policy Statement

Prestwick Private Kindergarten is committed to providing a safe and healthy environment for all children, staff, and visitors. We recognise that allergies can be life-threatening and take all reasonable steps to minimise the risk of allergic reactions and anaphylaxis within the nursery.

We work closely with parents/carers and healthcare professionals to ensure children with allergies are supported safely and inclusively.

The wellbeing and safety of children with allergies is a priority at all times.

Aims of the Policy

We aim to:

  • Protect children with known allergies from exposure to allergens.
  • Ensure staff understand how to recognise and respond to allergic reactions.
  • Provide appropriate training for staff regarding allergy management and emergency medication.
  • Work in partnership with parents/carers to manage allergies safely.
  • Promote an inclusive environment where children with allergies can participate safely in nursery activities.

Definition of Allergies & Anaphylaxis

An allergy is an immune system reaction to a substance that is usually harmless to others.

Common allergens include:

  • Nuts and peanuts
  • Milk and dairy products
  • Eggs
  • Fish and shellfish
  • Sesame
  • Wheat or gluten
  • Soya
  • Insect stings
  • Medication
  • Latex

Anaphylaxis is a severe and potentially life-threatening allergic reaction requiring immediate medical attention.

Responsibilities

Management Responsibilities

Management will:

  • Ensure allergy information is obtained before a child starts nursery.
  • Maintain accurate allergy records and care plans.
  • Ensure staff receive appropriate allergy and anaphylaxis training.
  • Ensure emergency medication is accessible at all times.
  • Inform all relevant staff of children’s allergies while maintaining confidentiality.
  • Carry out risk assessments where required.
  • Review procedures regularly.

Staff Responsibilities

All staff must:

  • Be aware of children with allergies in their care.
  • Follow allergy management procedures and care plans.
  • Prevent exposure to known allergens wherever possible.
  • Check food ingredients and labels carefully.
  • Supervise children during meals and snacks.
  • Recognise signs and symptoms of allergic reactions.
  • Act immediately in an emergency.
  • Attend allergy and anaphylaxis training as required.

Parent/Carer Responsibilities

Parents/carers must:

  • Inform the nursery of any allergies, intolerances, or medical conditions before their child starts.
  • Provide up-to-date medical information and care plans.
  • Supply prescribed medication, including in-date adrenaline auto-injectors where required.
  • Inform the nursery immediately of any changes to allergies or treatment.
  • Ensure medication provided is clearly labelled and replaced before expiry.

Allergy Management Procedures

The nursery will:

  • Record all allergies and dietary requirements.
  • Display allergy information discreetly for staff use.
  • Implement individual healthcare plans where required.
  • Ensure food preparation procedures minimise cross-contamination risks.
  • Carefully monitor activities involving food, sensory play, or outdoor allergens.
  • Carry out individual risk assessments when appropriate.

Where possible, the nursery will discourage foods containing high-risk allergens such as nuts from being brought into the setting.

Signs & Symptoms of an Allergic Reaction

Symptoms may include:

Mild to Moderate Reactions

  • Rash or hives
  • Itching
  • Redness or swelling
  • Stomach pain or vomiting
  • Sneezing or runny nose

Severe Reactions (Anaphylaxis)

  • Difficulty breathing
  • Wheezing
  • Swelling of the lips, tongue, or throat
  • Difficulty speaking or swallowing
  • Collapse or loss of consciousness

Anaphylaxis is a medical emergency.

Emergency Procedure for Severe Allergic Reaction

If a child shows signs of anaphylaxis:

  1. Administer prescribed adrenaline auto-injector immediately (if available and trained to do so).
  2. Dial 999 and request an ambulance.
  3. Inform management immediately.
  4. Contact parents/carers.
  5. Continue to monitor the child closely.
  6. A staff member will accompany the child to hospital if parents/carers are unavailable.
  7. Record the incident fully.

Children experiencing anaphylaxis must always receive medical assessment even if symptoms improve.

Food Safety & Mealtimes

To reduce allergy risks:

  • Staff will supervise all meal and snack times.
  • Children will be discouraged from sharing food or drinks.
  • Tables and surfaces will be cleaned before and after eating.
  • Staff will check ingredients carefully before serving food.
  • Dietary requirements will be clearly communicated to kitchen staff and relevant employees.

Medication Storage

Emergency medication:

  • Must be easily accessible at all times.
  • Will be stored safely but not locked away if urgent access is required.
  • Will accompany children on outings and outdoor activities.
  • Will only be administered by trained staff where possible.

Medication records will be maintained in line with nursery procedures.

Training

Relevant staff will receive training in:

  • Allergy awareness
  • Recognising allergic reactions
  • Administration of adrenaline auto-injectors
  • Emergency procedures

Training will be refreshed regularly.

Confidentiality

Information regarding allergies and medical conditions will be treated confidentially and shared only with staff who need the information to keep children safe.

Anaphylaxis

Policy Statement

Prestwick Private Kindergarten is committed to safeguarding the health, safety and wellbeing of all children in our care.

We recognise that anaphylaxis is a life-threatening medical emergency that requires immediate action. We ensure that children with diagnosed severe allergies are supported through robust planning, staff training and clear emergency procedures.

Individual Healthcare Planning

For any child diagnosed with a severe allergy requiring an adrenaline auto-injector (e.g. EpiPen), the following will be in place:

  • A completed Allergy Record / Care Plan detailing:
    • The specific allergy/allergen
    • Known triggers
    • Signs and symptoms of an allergic reaction
    • Clear step-by-step emergency action
    • Dosage and administration instructions
    • Emergency contact details
  • Written parental consent for administration of medication
  • Medication stored safely but readily accessible to staff at all times
  • Expiry dates monitored monthly by management

Recognising Anaphylaxis

Staff are trained to recognise symptoms, which may include:

  • Swelling of lips, face, throat or tongue
  • Difficulty breathing or wheezing
  • Persistent cough
  • Sudden rash, hives or redness
  • Pale, floppy or drowsy presentation
  • Vomiting
  • Collapse or loss of consciousness

All staff receive regular training in recognising and responding to anaphylaxis.

Emergency Procedure

If a Child Has a Diagnosed Allergy and an Adrenaline Auto-Injector Is Available

  1. The Person in Charge is informed immediately.
  2. Emergency Services (999) are called without delay, stating “anaphylaxis.”
  3. A trained member of staff retrieves the adrenaline auto-injector.
  4. A trained senior staff member administers the adrenaline auto-injector immediately, following the child’s Care Plan.
  5. The time of administration is recorded.
  6. A member of staff contacts the parent/carer immediately.
  7. Other children are calmly removed from the area to ensure safety and privacy.
  8. The child is laid flat with legs elevated (unless breathing difficulties require them to sit upright).
  9. The allergen (if known) is removed where possible.

If there is no improvement after 5 minutes and a second prescribed auto-injector is available, it will be administered as directed in the child’s Care Plan.

A member of staff will accompany the child to hospital if parents/carers have not yet arrived.

Emergency Procedure

If a Child Has No Prescribed Auto-Injector

  1. The Person in Charge is informed immediately.
  2. Emergency Services (999) are called immediately.
  3. Parents/carers are contacted without delay.
  4. The allergen (if known) is removed.
  5. The child is laid flat with legs elevated (unless breathing difficulties require them to sit upright).
  6. Staff will monitor airway, breathing and circulation until emergency services arrive.

Staff will not delay calling emergency services under any circumstances.

Post-Incident Procedure

  • The incident will be recorded in detail.
  • Parents/carers will be fully informed.
  • The Care Inspectorate will be notified where required.
  • A review of procedures and risk assessments will take place.

Prevention & Risk Reduction

We minimise risk by:

  • Recording all allergies clearly and discreetly.
  • Displaying allergy information in food preparation areas (confidentially).
  • Ensuring food preparation follows allergen management guidance.
  • Using designated plates, bowls and cups.
  • Completing risk assessments for activities involving food or environmental allergens.
  • Promoting staff awareness at all times.

Training & Monitoring

  • All staff receive training in recognising and responding to anaphylaxis.
  • Designated staff are trained in administering adrenaline auto-injectors.
  • Training is refreshed regularly.

Apprentices & Volunteers

Policy Statement

Prestwick Private Kindergarten recognises the valuable contribution that apprentices, students, work experience placements and voluntary workers can make to our setting.

We are committed to ensuring that all individuals undertaking placements within the nursery do so in a safe, supported and appropriately supervised manner, in line with Scottish legislation and Care Inspectorate guidance.

The safety and wellbeing of children remain paramount at all times.

Recruitment & Vetting

All apprentices, students and voluntary workers will be recruited in line with safer recruitment practices.

This includes:

  • Membership of the Protecting Vulnerable Groups (PVG) Scheme where legally required.
  • Appropriate references (where applicable).
  • Confirmation of placement details from college, training provider or organisation.
  • Verification of identity.

Short-term school work experience pupils (typically one week) may be exempt from PVG membership in line with current legislation; however, they will always be fully supervised.

No individual will commence placement until appropriate checks are complete.

Induction

All A.S.W.V. individuals will complete an induction prior to working with children. This will include:

  • Whistleblowing Policy
  • Confidentiality & Data Protection Policy
  • Child Protection Policy & Procedures
  • Fire Safety & Emergency Evacuation Procedures
  • Health & Safety procedures
  • Code of Conduct

They will receive an A.S.W.V. Policy Pack containing relevant policies.

Child protection responsibilities and confidentiality expectations will be clearly explained verbally and understanding confirmed.

Supervision & Roles

  • A.S.W.V. individuals will be supervised at all times.
  • They will not be included in staff ratios unless they are a recognised apprentice employed within ratio and suitably qualified (in line with Care Inspectorate requirements).
  • They must not be left alone with children unless authorised by management and appropriately vetted.
  • They are not permitted to open doors to visitors or admit individuals to the premises unless authorised by management.
  • They must always work under the direction of a qualified member of staff.

Professional Conduct

All A.S.W.V. individuals are expected to:

  • Maintain professional boundaries.
  • Adhere to confidentiality requirements.
  • Follow nursery policies and procedures at all times.
  • Demonstrate respectful, inclusive and appropriate behaviour.
  • Raise concerns in line with our Whistleblowing Policy.

Mobile phone use must comply with the nursery’s Mobile Phone & Photography Policy.

Safeguarding

All A.S.W.V. individuals must:

  • Be aware of their responsibility to safeguard children.
  • Report any child protection concerns immediately to the Designated Child Protection Coordinator.
  • Understand that safeguarding takes precedence over confidentiality.

Failure to follow safeguarding procedures may result in immediate termination of placement.

Termination of Placement

Management reserves the right to terminate a placement immediately if:

  • An individual poses a risk to children’s safety or wellbeing.
  • Professional conduct falls below expected standards.
  • Policies and procedures are breached.

The safety and wellbeing of children will always be the primary consideration.

Apprentices – Employment Expectations

Apprentices employed by Prestwick Private Kindergarten are recognised as members of the staff team and are expected to:

  • Demonstrate flexibility in supporting the needs of the service.
  • Participate fully in training and professional development.
  • Maintain professional standards at all times.

Management is committed to treating apprentices fairly and will endeavour to be flexible in accommodating reasonable requests for time off, where operationally possible.

Baking With Children

Policy Statement

Prestwick Private Kindergarten recognises that baking activities provide valuable learning experiences, supporting children’s development in numeracy, literacy, communication, fine motor skills and wellbeing.

All baking activities will be planned and carried out in a safe, hygienic and inclusive manner, in line with food hygiene regulations and Care Inspectorate guidance.

Children’s safety, wellbeing and dignity will always be prioritised.

Planning & Preparation

Effective preparation is essential for safe and successful baking experiences.

Staff will ensure:

  • Ingredients and utensils are prepared in advance.
  • Work surfaces are cleaned and sanitised before use.
  • All equipment is safe, clean and age-appropriate.
  • Allergen information is checked prior to the activity.
  • Individual dietary requirements are considered.
  • Separate bowls and utensils are provided for each child to reduce cross-contamination.
  • Labels and bags/containers are prepared in advance so children can take home their own baking safely.

A risk assessment will be undertaken where necessary (e.g. use of heat sources, electrical equipment).

Hygiene & Infection Control

To maintain high standards of hygiene:

  • Staff will model effective handwashing before the activity.
  • Children will be supervised to wash and dry their hands correctly.
  • Sleeves will be rolled up and aprons worn.
  • Long hair will be tied back where appropriate.
  • Primary coloured tongs and utensils will be used appropriately:
    • Designated food-use equipment must only be used for food preparation.
    • Play resources must never be used for food activities.

Any child who is unwell or has had sickness or diarrhoea within the last 48 hours will not participate in baking activities.

Supervision & Ratios

  • Baking activities will be closely supervised at all times.
  • A recommended group size is two children at a time, although this may increase to a maximum of four children depending on age, ability and staffing levels.
  • Staff will ensure children are supported according to their developmental stage.
  • Children will not access hot ovens, sharp utensils or electrical equipment without direct adult supervision and control.

Hot trays and ovens must only be handled by staff.

Allergens & Dietary Requirements

Prior to any baking activity:

  • Staff will check children’s allergy and dietary records.
  • Allergen risks will be assessed.
  • Alternative ingredients will be provided where necessary to ensure inclusion.
  • Cross-contamination will be prevented through careful preparation and cleaning procedures.

Communication

If baking is taking place close to collection time and the responsible staff member is finishing their shift, clear communication must be given to the staff member taking over to ensure:

Responding to a Disclosure

If a child discloses abuse, staff must:

  • Stay calm and listen carefully.
  • Reassure the child they have done the right thing.
  • Not promise confidentiality.
  • Avoid leading or investigative questions.
  • Record the child’s exact words.
  • Report immediately to a Child Protection Coordinator.

Staff must never investigate concerns themselves.

Reporting Procedure

  1. Staff report concerns immediately to a CPC.
  2. A written record is completed, including:
    • Date and time
    • Factual observations
    • Exact words used by the child
    • Details of injuries (recorded on a body map where required)

Childhood Ailments & Exclusion

Policy Statement

 

Prestwick Private Kindergarten is committed to promoting the health, safety and wellbeing of all children and staff.

To minimise the spread of infection, we follow current guidance from Public Health Scotland and NHS Scotland regarding exclusion periods for common childhood illnesses.

Unwell children are best cared for at home. We ask parents/carers to support us in protecting all children by adhering to the exclusion guidance outlined below.

 

General Principles

 

  • Parents/carers must inform the nursery of any infectious illness.
  • Children must be well enough to participate in normal nursery activities before returning.
  • The nursery reserves the right to request medical advice where necessary.
  • Exclusion periods may be extended in line with updated public health guidance.

 

Exclusion Guidance for Common Illnesses

 

Chickenpox

Children may return when all spots have dried and crusted over (usually 7–10 days after onset).

Hand, Foot and Mouth Disease

Children may return when they are well enough to attend. Blisters should be dry. This is typically 5–8 days.

Conjunctivitis

No exclusion is normally required unless the child is unwell or unable to comfortably participate in nursery activities.

Due to the close-contact nature of the baby room environment, the nursery may request temporary exclusion where symptoms are severe, discharge is excessive, or infection control cannot be maintained effectively.

Parents/carers should seek medical or pharmacy advice where symptoms are significant or persistent.

If prescribed eye drops or treatment, the first dose should be administered at home before attendance, where possible.

Slapped Cheek (Parvovirus B19)

No exclusion is required once the rash appears, as the infection is no longer contagious at that stage.
If the child is otherwise unwell, they should remain at home.

Upper Respiratory Infection (including chest infection requiring antibiotics)

No exclusion if the child is well enough to attend.
The first dose of any prescribed antibiotics must be administered at home.

Sickness & Diarrhoea

Children must remain off nursery for 48 hours after the last episode of vomiting or diarrhoea.

This applies regardless of the suspected cause.

Cold Sores

No exclusion unless the child is unable to manage secretions safely.
Cold sores should be covered where possible and good hygiene practised.

Impetigo

Children may return once lesions are dry and crusted, or 48 hours after starting antibiotic treatment, as advised by a GP or pharmacist.

Scarlet Fever / Strep A

Children may return 24 hours after starting appropriate antibiotic treatment and when they feel well enough to attend.

Influenza (Flu)

Children may return once fever has resolved and they are well enough to participate in activities.

Shingles

Children may return when the rash is covered and lesions are dry, and they are well enough to attend.

Mpox (formerly Monkeypox)

Children may return when medically cleared and all lesions have healed in line with current public health advice.

Fever

If a child develops a temperature of 37.5°C or above whilst at nursery:

  • Parents/carers will be contacted.
  • The child will be made comfortable and monitored.
  • If the child remains unwell, parents/carers will be asked to collect them.

Children must be fever-free (without medication) and well enough to attend before returning.

Outbreak Management

In the event of an outbreak of infectious illness:

  • Parents/carers will be informed.
  • Public Health guidance will be followed.
  • Additional cleaning and infection control measures will be implemented.

Fire drills are carried out regularly and recorded.

Medical Emergency Requiring Hospital Treatment

If a child becomes seriously unwell or sustains a significant injury requiring hospital assessment:

Staff Shortage or Illness

  • Images are deleted from devices once no longer required.
  • Parents/carers are not permitted to photograph other children within the nursery.
  • Written consent is obtained from parents/carers prior to taking photographs.
  • The wishes of parents who decline consent will be fully respected.

Any actual or suspected data breach will:

  • Be reported immediately to management.

Disciplinary & Grievance

We aim to deal with disciplinary and grievance matters fairly, consistently, confidentially, and without unreasonable delay, in line with current employment legislation and the:

This policy applies to all employees.

  1. Disciplinary Procedure

1.1 Purpose

The purpose of this procedure is to:

  • Encourage acceptable standards of conduct and performance
  • Ensure employees understand expectations
  • Provide a fair and consistent framework for addressing concerns
  • Support employees in improving conduct or performance where possible

1.2 General Principles

The following principles apply throughout the disciplinary process:

  • Matters will be dealt with promptly and fairly.
  • Investigations will be carried out before disciplinary decisions are made.
  • Employees will be informed in writing of concerns raised against them.
  • Employees will have the opportunity to respond before decisions are reached.
  • Employees have the right to be accompanied by:
    • A work colleague, or
    • A trade union representative
  • Confidentiality will be maintained wherever possible.
  • Employees have the right to appeal disciplinary decisions.
  • No employee will normally be dismissed for a first offence unless it constitutes gross misconduct.

The nursery reserves the right to move directly to any stage of the procedure depending on the seriousness of the matter.

1.3 Informal Resolution

Where appropriate, minor concerns may first be addressed informally through:

  • Discussion
  • Supervision
  • Guidance
  • Additional support or training

Informal action does not form part of the formal disciplinary procedure.

1.4 Formal Disciplinary Procedure

Stage 1 – Investigation

Where concerns arise:

  • A full investigation will be undertaken.
  • Employees may be invited to an investigatory meeting.
  • Suspension may be considered in serious cases while investigations are ongoing. Suspension is a neutral act and not disciplinary action.

Stage 2 – Invitation to Disciplinary Meeting

If formal action is considered necessary:

  • The employee will receive written notification outlining:
    • The allegations or concerns
    • Possible outcomes
    • Date, time, and location of the meeting
    • Right to be accompanied
  • Relevant evidence will be provided where appropriate.

Stage 3 – Disciplinary Meeting

At the meeting:

  • Concerns will be discussed fully.
  • The employee will have the opportunity to respond and present evidence.
  • Witnesses may be called where appropriate.
  • A decision will be made following consideration of all information.

The employee will be informed of the outcome in writing.

1.5 Types of Disciplinary Action

Verbal Warning

A verbal warning may be issued for minor misconduct or performance concerns.

Examples may include:

  • Minor lateness
  • Minor breaches of procedures
  • Minor conduct concerns

A verbal warning will normally remain active for 6 months.

Written Warning

A written warning may be issued where:

  • There is further misconduct following a verbal warning, or
  • The matter is more serious

A written warning will normally remain active for 6 months.

Final Written Warning

A final written warning may be issued where:

  • There is continued misconduct or poor performance, or
  • The misconduct is serious but not gross misconduct

A final written warning will normally remain active for 12 months.

Additional sanctions may include:

  • Further training
  • Increased supervision
  • Temporary suspension without pay where lawful and appropriate

Dismissal

Dismissal may occur where:

  • There has been repeated misconduct
  • There has been failure to improve following warnings
  • Gross misconduct has occurred

Employees dismissed for gross misconduct may be dismissed without notice or payment in lieu of notice.

1.6 Examples of Misconduct

Examples of misconduct include, but are not limited to:

  • Poor timekeeping
  • Minor breaches of nursery procedures
  • Failure to follow instructions
  • Inappropriate use of mobile phones or smart watches during working hours
  • Excessive personal use of phones or internet
  • Smoking in prohibited areas
  • Failure to follow health and safety procedures
  • Poor record keeping
  • Negligence in duties
  • Breach of confidentiality
  • Conduct damaging to the nursery’s reputation

Repeated or serious breaches may be treated as gross misconduct.

1.7 Gross Misconduct

Gross misconduct is behaviour serious enough to justify summary dismissal.

Examples include:

  • Physical assault or abuse towards a child or adult
  • Serious safeguarding breaches
  • Theft, fraud, or falsification of records
  • Serious bullying, harassment, or discrimination
  • Serious breach of confidentiality
  • Being under the influence of alcohol or illegal drugs at work
  • Serious negligence endangering children or others
  • Serious breaches of health and safety
  • Deliberate damage to nursery property
  • Serious insubordination
  • Bringing the nursery into serious disrepute

This list is not exhaustive.

1.8 Appeals

Employees have the right to appeal any formal disciplinary outcome.

Appeals should:

  • Be submitted in writing
  • State the grounds for appeal
  • Be submitted within the timeframe stated in the outcome letter

Appeals will:

  • Be heard without unreasonable delay
  • Normally be heard by a more senior manager where possible
  • Be confirmed in writing following the appeal meeting

The outcome of the appeal will be final.

  1. Grievance Procedure

2.1 Purpose

Prestwick Private Kindergarten recognises the importance of positive working relationships and open communication.

This procedure allows employees to raise workplace concerns fairly and confidentially.

2.2 Informal Resolution

Employees are encouraged, where appropriate, to raise concerns informally with their line manager first.

Many concerns can be resolved quickly through discussion.

If the concern relates to the line manager, the employee may speak to another manager or director.

2.3 Formal Grievance Procedure

Stage 1 – Written Grievance

If the matter cannot be resolved informally:

  • The employee should submit the grievance in writing.
  • The grievance should include:
    • Details of the concern
    • Relevant dates or incidents
    • Desired outcome where appropriate

Stage 2 – Grievance Meeting

The employee will be invited to attend a meeting to discuss the grievance.

Employees have the right to be accompanied by:

  • A work colleague, or
  • A trade union representative

Following the meeting:

  • The grievance will be investigated where necessary.
  • A written outcome will be provided.

Stage 3 – Appeal

If dissatisfied with the outcome:

  • The employee may appeal in writing.
  • An appeal meeting will be arranged where appropriate.
  • The appeal will normally be heard by a more senior manager where possible.

The final decision will be confirmed in writing.

Confidentiality

All disciplinary and grievance matters will be handled confidentially.

Information will only be shared with individuals directly involved in the process.

Duty of Candour

Policy Statement

Prestwick Private Kindergarten is committed to openness, honesty and transparency.

In line with the Health (Tobacco, Nicotine etc. and Care) (Scotland) Act 2016 and the Duty of Candour Procedure (Scotland) Regulations 2018, we will follow the statutory Duty of Candour procedure when an unintended or unexpected incident occurs in the course of providing care, and that incident has resulted in harm to a child.

The safety, wellbeing and rights of children and families remain central to our response.

When the Duty of Candour Applies

The Duty of Candour procedure will be activated when:

  • An unintended or unexpected incident occurs.
  • The incident results in harm (as defined within the Regulations).
  • The harm is confirmed by a registered health professional who was not involved in the incident.

The procedure may also be triggered following:

  • A serious complaint or concern
  • A significant adverse event
  • A whistleblowing disclosure
  • Regulatory notification

Our Commitment Under the Duty

When the Duty of Candour procedure is triggered, we will:

  1. Notify the parent/carer as soon as reasonably practicable that the procedure has commenced.
  2. Offer a sincere apology for the harm caused.
  3. Provide factual information about what is known at that stage.
  4. Carry out a thorough investigation, led by someone not involved in the incident.
  5. Keep the family informed throughout the process.
  6. Meet with the parent/carer to explain:
    • What happened
    • What has been learned
    • What actions will be taken to prevent recurrence
  7. Provide a written account of the incident and investigation findings.
  8. Consult with the family regarding how information should be communicated and stored.
  9. Offer information about support services for the child, family and staff involved.
  10. Report to the Care Inspectorate and other relevant regulatory bodies where required.

An apology under the Duty of Candour does not constitute an admission of liability.

Investigation & Learning

All investigations will:

  • Be objective and proportionate.
  • Identify root causes where possible.
  • Focus on learning and improvement rather than blame.

Following investigation, we will:

  • Review relevant policies and procedures.
  • Implement improvements.
  • Provide additional staff training where required.
  • Monitor practice to reduce the risk of recurrence.

Record Keeping & Reporting

We will:

  • Maintain a written record of each Duty of Candour incident.
  • Record actions taken and improvements made.
  • Retain documentation securely in line with Data Protection legislation.

Annual Reporting

In line with statutory requirements, our annual Duty of Candour report will include:

  • The number and nature of incidents where the procedure was applied.
  • A summary of how the Duty of Candour was carried out.
  • Changes to policies, procedures or practice as a result.
  • Details of support offered to families and staff.

The report will not include identifiable personal information.

Employer–Employee Relationship & Staff Confidentiality

Personnel Records

Management is responsible for the secure management of staff employment records.

  • A confidential personnel file is maintained for each staff member.

  • Staff have the right to access their own personnel file upon request.
  • Only authorised management personnel have access to individual files.

Professional disagreements should be addressed through formal procedures rather than informal discussion.

Prestwick Private Kindergarten operates formal Disciplinary and Grievance Procedures in line with employment law and ACAS guidance.

All such matters will be:

  • Handled sensitively and confidentially.

Breaches of confidentiality may result in disciplinary action.

If a management member or volunteer breaches confidentiality or professional standards, this will be formally addressed and may result in regulatory notification where appropriate.

Prestwick Private Kindergarten is committed to providing high-quality childcare in a professional, fair, and transparent manner.

This policy outlines the nursery’s procedures regarding fees, payments, funded sessions, late payments, deposits, and additional charges. Clear payment arrangements help ensure the smooth running of the nursery and allow us to continue providing high standards of care and education.

Registration & Retainer Fee

A child’s place at Prestwick Private Kindergarten will only be confirmed once:

  • Registration fee has been paid
  • Any applicable retainer fee has been paid
  • Registration form has been completed

Retainer fee will be deducted from first month fees subject to the nursery’s terms and conditions.

Retainer fees are generally non-refundable if a place is cancelled after acceptance, except in exceptional circumstances at management discretion.

Nursery Fees

Fees are reviewed regularly and parents/carers will receive reasonable notice of any changes.

Fees may vary depending on:

  • Regular days
  • Rota
  • Flexi days

Current fee information is available directly from the nursery.

Payment Terms

Fees must be paid:

  • In advance preferably by the 1st of each month  but no later than the 18th
  • Using approved payment methods

Accepted payment methods may include:

  • Bank transfer
  • Tax-Free Childcare
  • Standing order
  • Cash 

Parents/carers are responsible for ensuring payments are made on time.

Late Payments

If payment is not received by the due date:

  • A reminder may be issued

Continued non-payment may result in:

  • Suspension of childcare sessions
  • Withdrawal of the nursery place
  • Recovery action where necessary

The nursery will always aim to work sensitively and reasonably with families experiencing financial difficulties and encourages early communication where problems arise.

Absence & Holidays

Fees remain payable during:

  • Child absences due to illness
  • Family holidays

Refunds or reductions are not normally provided for non-attendance.

Late Collection Charges

Late collection charges may apply where children are collected after their agreed session end time.

This is necessary to cover additional staffing costs and operational requirements.

Parents/carers should contact the nursery as soon as possible if delayed.

Additional Charges

Additional charges may apply for:

  • Extra sessions

  • Additional services agreed in advance

Parents/carers will be informed of any additional charges beforehand where possible.

Changes to Sessions

Requests to change sessions or attendance patterns should be made in writing with appropriate notice.

Changes are subject to:

  • Staffing ratios
  • Operational requirements

The nursery cannot guarantee availability for additional or amended sessions.

Notice Period

Parents/carers wishing to withdraw their child from the nursery must provide 4 weeks written notice in accordance with their nursery contract.

Fees remain payable throughout the notice period whether or not the child attends.

Confidentiality

Financial information and payment records will be treated confidentially and managed in accordance with GDPR and data protection legislation.

Fire Safety

Policy Statement

Prestwick Private Kindergarten is committed to ensuring the safety and wellbeing of all children, staff and visitors in the event of fire.

We comply with the Fire (Scotland) Act 2005 and associated Fire Safety Regulations. Clear evacuation procedures are in place and practised regularly.

Children’s safety is always the priority.

Fire Exits

The nursery has two designated fire exits:

Front exit

Rear exit

Evacuation route plans are clearly displayed in all rooms, indicating the nearest exit.

Fire exits must remain unobstructed at all times.

Action in the Event of Fire

If a fire is discovered:

Raise the alarm immediately by activating the nearest Break Glass Call Point.

Do not attempt to investigate or delay evacuation.

When the fire alarm sounds:

Staff must stop activities immediately.

Children will be led or carried calmly to the nearest safe exit.

Staff will ensure children remain together and supervised at all times.

No personal belongings will be collected.

Responsibilities During Evacuation

The Person in Charge/Manager will:

Check all accessible areas (including toilets) where safe to do so.

Shout “Toilets Clear” once confirmed.

Ensure registers and the nursery mobile phone are taken if safe to do so.

âš  Staff must not attempt to extinguish a fire unless:

They are trained to do so,

It is safe,

The fire is very small, and

Their escape route is clear.

Evacuation must never be delayed to fight a fire.

Fire Assembly Point

The designated Fire Assembly Point is:

Second lamp post outside the nursery gate.

At the assembly point:

A full headcount will be conducted immediately using attendance registers.

Any missing person must be reported to the Person in Charge and emergency services immediately.

Children will be reassured and supervised closely.

Contacting Emergency Services

The Scottish Fire and Rescue Service must be contacted immediately by calling 999.

Parents/carers will be contacted once all children are accounted for and it is safe to do so.

Neighbouring Premises

If safe and appropriate, the Person in Charge/Manager will alert nearby premises (e.g. Tastebudz Café) to raise awareness of the emergency.

Fire Drills & Maintenance

Fire drills are carried out at least every 6 months and recorded.

Fire alarm systems and extinguishers are serviced regularly.

Staff receive fire safety training as part of induction and ongoing training.

Post-Incident Procedure

Following any fire incident:

The Care Inspectorate will be notified where required.

A review of procedures will be undertaken.

Risk assessments will be updated.

Hands must be washed thoroughly using the correct technique and appropriate facilities.

 

Handwashing Facilities

  • Warm running water must be available.
  • Communal bowls of water must never be used.
  • Liquid soap must be used (antibacterial soap is not routinely required).
  • Hands must be dried thoroughly using disposable paper towels.
  • A clearly labelled, hands-free or child-accessible bin must be provided for disposal of towels.

Additional Hygiene Measures

  • Alcohol-based hand rub may be used by staff when hands are not visibly soiled.
  • If hands are visibly dirty, they must be washed with soap and water.
  • When away from the nursery and running water is unavailable, hand wipes may be used temporarily; hands must be washed properly at the earliest opportunity.
  • All visible cuts and abrasions must be covered with a waterproof dressing.
  • Staff performing hand hygiene should avoid wearing wrist jewellery (including watches), false nails or nail products.

Reporting to Management

The following concerns or incidents must be reported to management immediately and recorded appropriately in nursery records or diaries:

  • Parents/carers questioning unexplained bumps, bruises, marks, or injuries.
  • Any concerns raised by parents/carers regarding a child’s wellbeing, behaviour, or care.
  • Challenging or unusual behaviour displayed by a child.
  • Concerns regarding a child’s development, milestones, or wellbeing.
  • New information shared by parents/carers relating to:
    • Health
    • Family circumstances
    • Care needs
    • Behaviour
    • Safeguarding
  • Illnesses or medical concerns occurring when management are out of the building.
  • Rashes, unusual nappies, sickness, diarrhoea, or signs of illness.
  • Any concerns regarding a child’s physical, emotional, or mental wellbeing.

Management will decide:

  • Whether parents/carers require to be informed immediately.
  • Whether additional monitoring or support is required.
  • Whether safeguarding procedures require to be followed.

All information will be treated sensitively and confidentially.

Emergency Procedures

In the event of an emergency, staff must:

  1. Ensure children are safe and supervised.
  2. Deliver first aid where required by a trained first aider.
  3. Dial 999 where emergency assistance is required.
  4. Contact management immediately if they are out of the building.
  5. Contact parents/carers as soon as possible.

Children must remain supervised and reassured throughout any emergency situation.

Prestwick Private Kindergarten will ensure:

  • At least one qualified first aider is available on the premises at all times.
  • First aid kits are fully stocked and accessible.

Children are supported to develop good hygiene habits through routines and age-appropriate learning experiences.

Nappy Changing Procedures

Nappy changing is carried out in a designated area and in a manner that preserves dignity and safety.

Staff must:

  • Wear disposable gloves and apron (PPE) for every change.
  • Clean and disinfect the changing mat after each use.
  • Dispose of wet nappies in a lidded internal bin.
  • Double-bag soiled nappies and place in the designated external bin.
  • Dispose of PPE and wipes appropriately.
  • Wash and dry hands thoroughly after each change.

Changing mats are checked regularly and replaced if worn or damaged.

Toileting

  • Children are supervised appropriately.
  • Children are encouraged to flush toilets and wash hands independently where developmentally appropriate.
  • Staff wear PPE if assisting with toileting.
  • Toilets, sinks, taps, handles and switches are cleaned regularly throughout the day.
  • Separate cleaning equipment is used for toilet areas and clearly labelled.
  • Toilet areas are disinfected or steam cleaned daily.

Mealtimes & Food Hygiene

Only staff holding a current Food Hygiene Certificate may prepare food.

Staff must:

  • Wash hands before and after food preparation and service.
  • Clean and disinfect tables and chairs before and after meals.
  • Use tongs, utensils or gloves when serving food (never bare hands).
  • Ensure each child uses their own cloth or bib.

Bibs, face cloths and reusable items are boil washed daily.

Baby bottles and feeding equipment are sterilised and steriliser water changed every 24 hours.

Toys & Equipment

  • Toys are cleaned and disinfected regularly.
  • High-touch surfaces are cleaned daily.
  • Soft toys are machine washed regularly.
  • Soft furnishings are steamed daily and washed weekly.
  • Damaged toys are removed immediately.

Resources contaminated by bodily fluids or animals are cleaned thoroughly or disposed of.

Outdoor Areas & Animals

  • Outdoor areas are checked daily for hazards or contamination.
  • Children are prevented from accessing contaminated areas until cleaned.
  • Equipment is inspected for safety before use.
  • Large outdoor equipment is cleaned regularly.
  • Children wash hands after contact with animals or insects.

Spillages of Bodily Fluids

All staff are trained in managing bodily fluid spillages safely.

Procedure:

  1. Keep children away from the area.
  2. Wear PPE.
  3. Absorb spill with disposable paper towels.
  4. Clean and disinfect the area thoroughly.
  5. Double bag all contaminated waste.
  6. Dispose of waste in designated external bin.
  7. Wash and dry hands thoroughly.

Steam cleaning will be used where appropriate.

Laundry & Linen

  • Bedding, bibs and cloths are boil washed.
  • Bedding is stored individually and washed weekly or sooner if required.
  • Soiled clothing is double-bagged and returned to parents/carers.
  • Clean laundry is stored separately from used items.

Changing Sick or Soiled Children

  • PPE must be worn throughout.
  • Soiled clothing is removed and double-bagged.
  • The child is cleaned appropriately.
  • All waste is disposed of safely.
  • The area is disinfected thoroughly.
  • Hands are washed and dried.

Children’s dignity and comfort are maintained at all times.

Infectious Diseases & Exclusion

Children must remain at home:

  • For 48 hours after the last episode of sickness or diarrhoea.
  • In accordance with Public Health Scotland exclusion guidance for other infectious illnesses.

Staff must remain off work for 48 hours following sickness or diarrhoea.

A full exclusion list is displayed in the entrance area and available on request.

The Manager reserves the right to refuse entry to any child, staff member or visitor who may pose a risk of infection.

When a Child Becomes Unwell During Their Time at Nursery

If a child becomes unwell during the nursery day, staff will comfort and monitor the child appropriately and, where suitable, provide a quiet area for rest while parents/carers are contacted.

Parents/carers may be contacted and asked to collect their child as soon as possible to ensure the child’s comfort and wellbeing and to reduce the spread of infection within the nursery.

This may include:
· A high temperature or fever
· Vomiting or diarrhoea
· Suspected infectious illness
· Unusual lethargy, discomfort or distress
· Difficulty participating comfortably in nursery activities
· Symptoms that require closer monitoring or medical attention

Where appropriate permissions are in place, paracetamol may be administered; however, this does not automatically mean a child is well enough to remain in nursery.

If a child’s temperature or symptoms do not improve after administering medication, parents/carers will be contacted and asked to arrange collection.

The nursery reserves the right to request collection where staff feel a child is too unwell to safely or comfortably participate in the nursery day.

 

Milk Storage & Heating Procedures

Policy Statement

Prestwick Private Kindergarten is committed to ensuring the safe storage, handling and preparation of breast milk and formula milk in accordance with NHS Scotland and food safety guidance.

The health and safety of babies is paramount.

Formula Milk

The Kindergarten does not prepare powdered formula on-site.

Parents/carers are required to:

  • Provide pre-made bottles prepared at home, or
  • Supply ready-to-feed formula in its original sealed container.

All bottles must be:

  • Clearly labelled with the child’s full name
  • Dated and timed where appropriate

Prepared formula must be stored immediately in the fridge upon arrival.

Unused formula milk must be discarded:

  • Within 1 hour of starting the feed, or
  • In accordance with manufacturer guidance

Breast Milk

Breast milk must be:

  • Clearly labelled with the child’s full name
  • Dated (and time expressed where possible)

Storage

  • Stored on the top shelf of the fridge in a clearly designated container.
  • Kept separate from other food items.

Defrosting

Frozen breast milk must:

  • Be defrosted slowly in the fridge where possible, or
  • Be gently warmed in a jug of warm water if needed immediately.

Once fully defrosted:

  • It must be used immediately.
  • It must never be refrozen.

Warming Milk

Milk may be given cold if the baby is content to drink it this way.

If warming is required:

  • Place the bottle in a jug of warm (not boiling) water, or
  • Hold under warm running water.

Milk must:

  • Be gently swirled (not shaken) to mix evenly.
  • Be tested on the inside of the wrist before feeding to ensure safe temperature.

âš  Microwaves must never be used to heat milk, as they can create hot spots that may scald a baby.

Any milk remaining after one hour of warming must be discarded.

Hygiene & Handling

Staff must:

  • Wash hands before handling bottles.
  • Ensure preparation areas are clean and sanitised.
  • Use clean equipment at all times.
  • Record feeds where required.

Supporting Breastfeeding

Prestwick Private Kindergarten actively promotes and supports breastfeeding.

  • Mothers are welcome to breastfeed on the premises.
  • A comfortable, private space will be offered if requested.
  • Staff will handle expressed milk respectfully and safely.

Prestwick Private Kindergarten is committed to safeguarding children from the misuse of mobile phones, smart devices and image capture technology. We aim to:

  • Eliminate the risk of unauthorised images being recorded or shared.
  • Prevent distraction from supervision duties.
  • Protect staff and children from allegations or inappropriate use of technology.

This policy applies to all staff, students, volunteers, visitors and contractors.

Mobile Phones & Smart Watches

 

General Use

Staff must remain fully attentive to children at all times.

  • Personal mobile phones must not be used during working hours.
  • Phones must be stored in the designated staff area, away from children.
  • Devices must be kept on silent.
  • Smart watches (including Apple Watches or similar devices) capable of messaging, calling or recording must not be worn during working hours unless placed in silent mode and not actively used.

Mobile phones and smart watches may only be used during designated break times and away from children.

 

Contact with Parents

Under no circumstances may staff contact parents/carers using personal devices.

All communication with families must be through:

  • The nursery landline
  • Nursery Facebook messenger
  • Nursery email

 

Emergency Situations

If a staff member has a personal emergency:

  • Permission must be sought from management before using their phone.

During outings:

  • A nominated staff member will carry the nursery mobile phone.
  • It must only be used for emergency calls or communication with the nursery.
  • Personal calls must not be taken while supervising children.

 

Content & Conduct

Staff bringing personal devices into the nursery must ensure:

  • There is no inappropriate, illegal or offensive content stored on their device.

Any breach of this policy may result in disciplinary action.

All staff have a responsibility to report concerns regarding misuse of technology in line with the Whistleblowing Policy.

 

Cameras & Capturing Images

We recognise that photographs and videos are valuable tools for recording children’s learning and development. However, strict safeguards are in place.

 

Approved Devices

  • Only nursery-owned devices may be used to take photographs.
  • Personal devices must never be used to photograph children.

 

Safe Practice

  • Images must be appropriate and respectful.
  • Children must not be photographed in compromising or distressing situations.
  • The dignity of the child must be maintained at all times.
  • Parental consent must be obtained before images are taken.

 

Storage & Security

  • The nursery camera/device must be stored securely in a locked office when not in use.
  • Images must be downloaded regularly (ideally weekly).
  • Images must not be stored longer than necessary.
  • Images must be deleted securely once no longer required.

 

Parents & Visitors

  • Parents are not permitted to take photographs or videos of children other than their own.
  • Visitors and contractors must not use mobile phones in child-access areas.

Nappy Changing & Intimate Care

Children’s comfort, privacy, and emotional wellbeing are central to our practice at all times.

Policy Aims

  • Promote children’s dignity, comfort, and emotional wellbeing.
  • Prevent the spread of infection through effective hygiene procedures.
  • Maintain respectful and positive interactions during intimate care routines.
  • Work in partnership with parents/carers regarding children’s care needs.

Nappy Changing Procedures

Children’s nappies will be:

  • Checked regularly throughout the day
  • Changed promptly when required
  • Changed according to individual care routines and needs

The following procedures will be followed:

  • Nappy changing will take place in a designated hygienic changing area.
  • Staff will wash hands before and after every nappy change.
  • Changing mats and surfaces will be cleaned and disinfected after each use.
  • Soiled nappies will be disposed of safely in a sealed, foot-operated nappy bin.
  • Soiled clothing will be sealed in a bag and returned to parents/carers.
  • Staff will record nappy changes and any significant observations where appropriate (e.g. rashes, loose stools, signs of illness).

Children will never be left unattended during nappy changing.

Use of PPE

Prestwick Private Kindergarten follows infection prevention and control guidance while also promoting environmentally responsible practice.

  • Gloves and aprons must always be worn for soiled nappy changes involving faeces or bodily fluids.
  • For wet nappies (urine only), staff may use professional judgement regarding PPE use where appropriate and in line with risk assessment and nursery procedures.
  • Handwashing remains essential before and after every nappy change regardless of PPE use.

Suitable PPE and cleaning materials will always be available.

Apprentices, Students & Competency

Apprentices or students may support with nappy changing only when:

  • They have received appropriate guidance and supervision.
  • They have been assessed as competent by management or qualified staff.
  • A qualified staff member is aware and available for support where required.

Children’s dignity and safeguarding remain a priority at all times.

Safeguarding & Children’s Dignity

Nappy changing and intimate care are carried out respectfully and sensitively.

Staff will:

  • Respect children’s privacy and dignity.
  • Explain what they are doing in an age-appropriate way.
  • Reassure and comfort children where needed.

The nursery premises have been designed and maintained to promote safety, security, and effective supervision at all times.

Security of the Premises

To maintain security within the nursery:

  • External doors will remain secure during operational hours.
  • Entry to the nursery will be controlled by staff.
  • Visitors will not be permitted unsupervised access to children.
  • Unknown visitors may be asked to provide identification.
  • Staff will remain vigilant regarding security and safeguarding concerns.

We believe the safest and most secure way of admitting individuals into the nursery is for a member of staff to personally open secured doors whenever possible.

This also supports the warm, personal approach we aim to provide to families.

Arrival & Collection Procedures

Children will only be released to:

  • Their parent/carer, or
  • An authorised adult named by the parent/carer

Parents/carers may be asked to provide or confirm a reference number during the settling-in period or whenever staff are unfamiliar with the individual collecting the child.

If someone different is collecting a child:

  • Parents/carers must inform the nursery in advance.
  • The authorised person may be required to provide the child’s collection reference number.
  • Identification may also be requested where necessary.

Children will not be released where staff are uncertain about the identity or authorisation of the individual collecting them.

Unauthorised Collection

If collection arrangements change and the nursery has not been informed:

  • The child will remain safely supervised within the nursery.
  • Staff will attempt to contact the parent/carer using the contact details provided.
  • The child will not be released until authorisation has been confirmed.

Where staff believe a child may be at risk, management and safeguarding procedures will be followed.

Non-Attendance Procedures

Parents/carers are asked to notify the nursery if their child will not be attending.

If a child does not arrive as expected and no notification has been received:

  • The nursery will attempt to contact parents/carers within a reasonable timeframe.
  • Emergency contacts may be contacted if necessary.
  • All attempts to contact families will be recorded.

This procedure is in place to safeguard children and ensure their wellbeing.

Changes to Family Information

Parents/carers are responsible for informing the nursery immediately of any changes to:

Separated Parents & Court Orders

If a parent/carer wishes to prevent another individual from collecting a child, official legal documentation (such as a court order) must be provided to the nursery.

Staff cannot enforce verbal requests without supporting legal documentation.

All information relating to family circumstances will be handled sensitively and confidentially.

Visitor Procedures

All visitors to the nursery:

Sleep Safe

Statement of Intent

At Prestwick Private Kindergarten, we are committed to providing a safe sleep environment for all babies in our care. We work in partnership with parents and follow current guidance to reduce the risk of Sudden Infant Death Syndrome (SIDS) and always promote safer sleep practices.

Safer Sleep Principles

  • Babies are always placed on their backs to sleep
  • Babies sleep on a firm, flat surface (fully flat pram)
  • Sleep spaces are kept clear (no pillows, duvets, soft toys or loose items)
  • Blankets, where used, are firmly tucked in and not above the shoulders
  • Babies are placed in a feet-to-foot position
  • Babies do not wear hats during sleep (unless medically advised)

Sleep Environment

  • Babies sleep in fully flat, firm-based prams suitable for sleep
  • Each child has their own bedding, which is washed regularly
  • Babies will never be put to sleep with a bottle
  • If a baby falls asleep in an unsafe place (e.g. car seat, bouncer, sofa or in arms), they will be moved to a safe sleep space
  • If a child arrives asleep, staff will ensure they are safe before allowing them to continue sleeping

Supervision

  • Babies are closely supervised at all times during sleep
  • Sleeping babies remain within sight and hearing of staff
  • Regular checks are carried out and recorded
  • Monitors may be used to support supervision but do not replace direct observation

Outdoor Sleep (Veranda)

At Prestwick Private Kindergarten, babies may sleep outdoors on the veranda when conditions are safe and suitable.

  • Babies are protected from direct sunlight, strong wind and extreme temperatures
  • Prams are positioned in shade with good airflow
  • Babies are checked regularly to ensure they are comfortable and at a safe temperature
  • Outdoor sleep will not take place if the weather conditions are unsuitable
  • Parent permission will be obtained for outdoor sleep

Use of Rain Covers

  • Rain covers are used only when necessary (e.g. rain or wind)
  • They are used for the shortest time possible
  • Staff are aware that rain covers can trap heat and reduce airflow
  • Babies are monitored closely for signs of overheating

Temperature and Positioning

  • Babies must not be overheated or too cold
  • Clothing and bedding are adjusted appropriately
  • Babies’ temperature is checked regularly (neck/chest)
  • Prams must not be placed near radiators or other heat sources

Settling and Routines

  • Information is gathered from parents about each child’s sleep routine

Sun Safety

Policy Statement

Prestwick Private Kindergarten is committed to protecting children, staff, and visitors from the harmful effects of ultraviolet (UV) radiation while encouraging safe outdoor play and learning.

We recognise that children’s skin is particularly sensitive to the sun and that overexposure can increase the risk of skin damage and long-term health problems. We aim to provide a balanced approach that allows children to enjoy outdoor experiences safely.

Policy Aims

We aim to:

  • Protect children and staff from overexposure to the sun.
  • Promote safe outdoor play and learning.
  • Reduce the risk of sunburn and heat-related illness.
  • Encourage parents/carers and staff to follow safe sun protection practices.
  • Ensure children remain hydrated and comfortable during warm weather.

Sun Safety Procedures

During periods of sunny or warm weather, the nursery will:

  • Encourage children to play in shaded areas where possible.
  • Limit prolonged exposure to direct sunlight, particularly between 11am and 3pm.
  • Encourage regular drinks of water to prevent dehydration.
  • Ensure children wear suitable clothing and sun hats.
  • Apply sun cream in accordance with parental consent and nursery procedures.
  • Monitor children for signs of overheating or sunburn.
  • Adapt outdoor activities during extreme temperatures.

Outdoor play remains important for children’s wellbeing and development; however, activities will be managed safely according to weather conditions.

Protective Clothing

Children should attend nursery with:

  • A suitable sun hat that protects the face and neck.
  • Lightweight clothing that covers shoulders where possible.
  • Appropriate footwear for outdoor play.

Parents/carers are encouraged to label all items clearly.

Staff will also model good sun safety practices by wearing appropriate clothing and using sun protection.

Sunscreen

Parents/carers are asked to:

  • Apply sun cream to their child before arrival at nursery during sunny weather.
  • Provide clearly labelled sun cream if not using nursery sun cream.
  • Complete consent forms for staff to reapply sun cream where applicable.

The nursery will:

  • Reapply sunscreen during the day where consent has been provided.
  • Encourage the use of sunscreen with a minimum SPF 30 and UVA protection.
  • Support children in applying sunscreen appropriately according to their age and ability.

Where a child has sensitive skin or allergies, parents/carers must provide suitable products and instructions.

Hydration & Heat Safety

To reduce the risk of dehydration and heat exhaustion:

  • Fresh drinking water will be available at all times.
  • Children will be encouraged to drink water regularly.
  • Staff will monitor children closely during hot weather.
  • Physical activity may be reduced during extreme heat.

Signs of overheating or heat exhaustion may include:

  • Flushed skin
  • Excessive tiredness
  • Dizziness
  • Headache
  • Nausea
  • Unusual irritability

Staff will respond immediately to any concerns regarding a child’s wellbeing.

Babies & Young Children

Extra care will be taken with babies and younger children who are more vulnerable to heat and sun exposure.

Babies under 6 months will be kept out of direct sunlight wherever possible.

Staff Responsibilities

Staff are responsible for:

  • Following sun safety procedures
  • Supervising children appropriately outdoors
  • Encouraging hydration
  • Reporting concerns relating to heat or sun exposure
  • Ensuring shaded areas are used effectively

Parent/Carer Responsibilities

Parents/carers are responsible for:

  • Providing appropriate sun hats and clothing

Extreme Weather

During periods of extreme heat or severe weather warnings, the nursery may:

Whistleblowing

Policy Statement

At Prestwick Private Kindergarten, we are committed to providing a safe, caring, respectful, and inclusive environment for all children, staff, parents/carers, students, and visitors.

All staff members have a professional duty to raise any concerns regarding the welfare, safety, or wellbeing of children, colleagues, or families. Concerns raised in good faith will always be treated seriously, sensitively, and confidentially.

No member of staff will suffer discrimination, victimisation, or unfair treatment as a result of reporting genuine concerns.

Whistleblowing

Whistleblowing is the act of reporting concerns about unsafe, illegal, inappropriate, or unethical practice within the nursery.

Staff are encouraged to report concerns immediately to management if they witness, suspect, or are informed about any situation that may place a child or adult at risk.

Examples of concerns may include, but are not limited to:

  • A child being bullied, smacked, pushed, shaken, neglected, humiliated, or placed at risk physically, emotionally, or mentally.
  • Inappropriate behaviour towards a child by a staff member, volunteer, student, or visitor.
  • A staff member experiencing bullying, intimidation, harassment, discrimination, or verbal, physical, or emotional abuse.
  • Sexual harassment or inappropriate conduct.
  • A parent/carer being treated disrespectfully or unfairly.
  • Unsafe working practices or breaches of nursery procedures.
  • Inappropriate use of social media or online communication.
  • Concerns regarding safeguarding, health and safety, or professional misconduct.

This list is not exhaustive, and all staff are expected to report ANY concern promptly.

Reporting Concerns

Concerns should normally be reported to:

  • The Nursery Manager

If the concern involves management, staff may contact the Care Inspectorate directly.

All reports will be:

  • Taken seriously
  • Investigated appropriately
  • Handled confidentially wherever possible
  • Recorded in accordance with nursery procedures

Anonymous disclosures will also be considered and investigated where appropriate.

Bullying & Harassment

Prestwick Private Kindergarten operates a zero-tolerance approach to bullying, harassment, discrimination, or intimidation of any kind.

Bullying may include:

  • Verbal abuse
  • Physical intimidation
  • Threatening behaviour
  • Humiliation
  • Exclusion
  • Online/social media harassment
  • Discriminatory behaviour

Any incidents involving bullying or harassment between staff, children, parents/carers, or visitors will be addressed promptly and appropriately.

Confidentiality

All whistleblowing concerns and complaints will be handled with discretion and confidentiality. Information will only be shared with individuals who need to know in order to protect children, staff, or others.

Independent Advocacy & External Reporting

If staff, parents/carers, or visitors feel concerns have not been appropriately addressed internally, they have the right to contact the Care Inspectorate directly.
